Hi everyone!  Thank you so much for participating in the Fandom Loves Puerto Rico fundraiser – whether you’re a creator, bidder, or have helped spread the word on social media! (or all three!)  I wanted to go over some nitty gritty details with everyone.

Sign Up Period – Ending
The sign up sheet will be open until 3pm EST, Sunday October 15th. At this point the sign up post and Buy It Now! pages will be set to private, so that no new comments can be added.  All comments or questions should be redirected to the Master Post.

This is to give me enough time to get all auction items recorded, and over to new pages. I’ll be moving each auction item to its own thread, to ensure there’s no confusion over multiple items being bid (for example, if a creator has offered “1 fic x 5,000 words” and “3 fics x 500 words” then they will have two auction items (i.e. comment threads).  

Auction Opening & Closing
The auction will go live at 9am EST, Tuesday October 17th. An indexed list of creators will be posted, similar to how the sign up offerings were listed. There will also be a master list of creators provided, so you can go directly to the person you want to bid on, if you already know. All offerings will be grouped together on the auction post; the link will go to the first item, and you can scroll down to find their other items.

The auction will continue until 6pm EST, Monday October 23rd. At that time, the auction posts will be screened to private to bring all bidding to a close. The posts will unscreened after 1-2 hours. At that point, the winning bidders will start to receive a reply to their posts informing them that their bid has won, and further instructions. It will take up to a few days to go through and notify all winners; you’re welcome to come back to the post to see if you’ve won, but please do not comment any further on any comment thread unless you are the creator.

The notification comment will contain the creator contact information that was been provided to me (either on the sign up sheet or via direct message on DW/tumblr). If you provided an email address, we will put spaces in the address to make it less recognizable (i.e. hansbekhart at gmail dot com) but if you’re not comfortable with this measure please provide an alternate way for your bidders to contact you.

If the auction item has more than one of the same item (i.e. 3 x pencil sketches) and your bid is one of the highest 3, you’ve won. For posts with multiple items, but more identical bids than number of items, preference will be given to the earlier bids.

Proof of donation to ConPRmetidos (a receipt or screencap of receipt) must be supplied directly to the creator within <b>THREE WEEKS</b> of the auction close, or by November 7th. <b>Do not</b> post proof of donation directly to the community, or anywhere public. We recommend that you block out any identifying information on the information you send to your creator, as well. Email hacks happen all the time these days, and you don’t want any more private financial information out in the world than necessary.

It is the responsibility of the bidder to get in contact with the creator, and provide donation proof to them. The Fandom Loves Puerto Rico mods (which is mostly just me, guys) will not chase down anyone once we’ve notified you that you’ve won an auctioned item.

Creators should come back to the relevant auction thread and update with donation information. They can also notify me of the donation via tumblr messenger or my askbox. This is so I can keep track of the total amount raised.

We will be following up with all creators that haven’t confirmed donation around November 7th. If they haven’t received their proof of donation, the <b>runner up</b> of the auctioned item will be contacted to see if they would like a chance to make a donation in the amount of their last bid, to receive the item.

The fundraiser will not be establishing a deadline for creators to finish their items. All estimated delivery/posting dates must be worked out between the bidder and creator. The fundraiser will also not be involved in any shipping/handling of physical goods; all details as to who covers shipping must be worked out between the bidder and creator.

If the bidder approves, please post your creations to the AO3 Fandom Loves Puerto Rico collection. If you are posting a link to your item on tumblr, you can send it directly to me (hansbekhart) and I’ll reblog.

Buy It Now! Event
The Buy It Now! sign ups will not be reposted; the event will go live on the existing page at 9am EST, October 18th, and run until 6pm EST, October 19th, or until we run out of items. First come, first served!  You have the same three weeks to provide proof of donation.

Please ask any other questions over on DW. I’ll answer questions as quickly as I can, but I’ll be traveling and otherwise occupied on certain days over the next two weeks, and getting married a few days after the auction closes; on those days I’ll have a friend step in for me, but if you don’t hear back from anyone quickly, please be patient.
